Payrun approval workflows in EOS Payroll let you separate who can process payruns from who can approve them, supporting dual-control and compliance requirements. Admins can configure approval requirements per pay schedule, assign specific approvers, and ensure that payruns are only finalised after appropriate review. Outcome notifications and remediation steps help processors and approvers resolve declined payruns efficiently.
To set up who can process and approve payruns for each pay schedule, see Configure payrun approval settings.
This article explains how to:
Process payruns with approval workflows
This section explains how payrun processors submit payruns for approval and what happens when approval is required or not required for a pay schedule.
- Log in to Employment Hero.
- Open the page where you manage payruns for EOS Payroll.
- Start or select the payrun you want to finalise.
- If approval is not required for the pay schedule, select Finalise. The payrun is finalised immediately.
- If approval is required, select Finalise to submit the payrun for approval. The status changes to "Pending Approval".
- You can see who the assigned approvers are and when the payrun was submitted. The payrun is locked for editing until it is approved or declined.
Approve or decline payruns
This section explains how approvers are notified of payruns needing approval, how to approve or decline, and what happens after a decision is made.
- When a payrun is submitted for approval, assigned approvers (or all admins if no approvers are set) receive in-app and email notifications with payrun details and a link to review.
- Open the payrun directly from the notification or by navigating to the payrun list and selecting a payrun with "Pending Approval" status.
- Review the payrun details. If you are ready to approve, select Approve and confirm. The payrun status updates to "Finalised". All other approvers' notifications are dismissed.
- To decline, select Decline, enter a reason, and confirm. The payrun status updates to "Declined" and is locked until the processor unlocks it. The processor receives an in-app and email notification with the decline reason and a link to the payrun.
- If another approver acts first, your pending notification is dismissed and you cannot take further action on that payrun.
- Admins always retain the ability to approve or decline any pending payrun, even if not assigned as an approver.
- To remediate a declined payrun, the processor must unlock the payrun, make any required changes, and resubmit for approval.
