The Workflows feature allows you to automate repetitive tasks and business processes within your organisation. With our latest update, you can now make routine changes to your active automation rules without needing to take them offline first. This ensures your business processes continue to run smoothly while you make improvements.

This article will show you how to manage the following:

Update a published workflow

Modify an active workflow directly

You can now modify live workflows without stopping in-flight processes. The requirement to manually unpublish a workflow before editing has been eliminated, reducing the interaction cost from over 12 clicks to just 3–5 clicks. The workflow will remain in a Published state throughout your entire editing session.

  1. Log in to Employment Hero.
  2. Navigate to the workflow dashboard.
  3. Locate the active workflow card you wish to change.
  4. Click the three-dot menu on the workflow card.
  5. Select the Edit option.
  6. Make the necessary changes within the Workflow Editor.
  7. Choose one of the following actions:
    • Save flow & Publish: This saves your changes and applies them immediately to the live system in one step.
    • Discard: This removes all changes made during the current session and reverts the workflow to the latest saved version.

Helpful Hint

The system uses an all-or-nothing model. You must either save your changes to publish them immediately or discard them before you leave the editor. There is no draft state for these routine edits.

Recognise visual indicators and exit protections

We have included several protections to ensure your data remains accurate and you do not accidentally lose your work.

  • Visual Badge: An unsaved changes indicator will appear in the editor as soon as you make a modification. This badge disappears once your changes are saved or discarded.
  • Exit Protection: If you attempt to close the tab, click another link, or navigate away with unsaved changes, the system will block the action and show a warning message asking you to save or discard changes.
  • Conflict Detection: If another user saves changes to the same workflow while you are editing it, a conflict notification will appear. You will be prompted to reload the screen to ensure you are working on the most recent version.

Maintain business continuity during updates

Manage in-flight and new workflow instances

Updating a live workflow does not interrupt the work already in progress. Here is how the system handles different instances:

  • In-flight instances: Any process that is already running (such as an onboarding journey or payroll approval) will continue to completion using the version of the workflow it started with. This prevents broken employee journeys or data inconsistencies.
  • Scheduled instances: Instances that have been scheduled but not yet started will use the latest published version at the time they begin.
  • New instances: Any new process triggered after you click Save flow & Publish will automatically use the updated version.
