Manage staffing requirement indicators on your roster

Available for the following User Access levels: Manager, Admin

Staffing requirement indicators show you whether each position on your roster is understaffed, fully staffed or over-rostered, based on the labour rules you have set up for your work site. Instead of counting shifts and comparing them against your staffing targets by hand, you can read a colour-coded badge on each position row and adjust your roster with confidence. This feature is available for organisations that use work sites and positions rostering.

Important

Staffing badges only appear when your work site has at least one active labour rule set up with positions, a sales metric and a coverage type. The roster then calculates each position's staffing status against your forecasted or actual sales.

  1. Log in to Employment Hero. 
  2. Go to Rostering Management.
  3. Click the Display panel.
  4. Turn on the Staffing requirements toggle.

Your labour rules now run against the roster, and a staffing badge appears on each position that has an active labour rule. While the staffing data loads, you will see placeholder shapes in the badge cells. The rest of the roster stays visible and usable the whole time.

Turn off staffing requirement indicators

You can hide the badges when you want to schedule quickly without the extra visual detail.

  1. Log in to Employment Hero. 
  2. Go to Rostering Management.
  3. Click the Display panel.
  4. Turn off the Staffing requirements toggle.

All staffing badges disappear, while each position row's name, total hours and total cost stay visible. The platform saves your choice automatically, so the badges stay hidden when you leave the roster and return. Turn the toggle back on at any time and the badges reappear immediately. The toggle is not available in employee view, and staffing badges never display there.

Interpret the badge colours and icons

In the weekly, 2-week, 4-week and monthly views, each day column shows a text badge for every position that has an active labour rule. The badge pairs the number of staff you have rostered with the number the rule requires for that day.

  • A green badge with a ● circle icon means the position's staffing requirement is met for that day, for example ● 3/3.
  • A red badge with a ▼ down arrow means the position is understaffed, for example ▼ 1/3. If no one is rostered at all, the badge shows ▼ 0/3 rather than staying blank.
  • A red badge with a ▲ up arrow means the position is over-rostered, for example ▲ 4/3.

Both alert states use red, so look at the icon to tell them apart. The down arrow shows fewer staff rostered than the rule requires, and the up arrow shows more staff rostered than the rule requires.

Check staffing for each time slot in daily view

Daily view lets you see your staffing requirements every 15 minutes. Instead of one badge per day, each position row shows a small colour-coded symbol for every 15-minute time slot. The same icons apply: a green ● when the requirement is met, a red ▼ when the slot is understaffed and a red ▲ when the slot is over-rostered.

The symbols show no count text, which keeps the daily grid easy to scan. Hover over any symbol to reveal the rostered and required counts for that slot. For example, if your forecast sales drop and you need to roster someone off, the ▲ symbols show you that you are over-rostered.

View the staffing breakdown in a tooltip

Every badge carries a detailed breakdown, so you never have to leave the roster to check the exact figures.

  1. Hover over any staffing badge on the roster.
  2. Read the tooltip that appears. For a single position, it shows the position name, the number of staff rostered, the number required and the staffing status label, for example Understaffed.

Helpful Hint

The status label in the tooltip renders in the same colour as the badge itself, so you can match the detail to the indicator at a glance. For positions that share a labour rule, the tooltip shows the combined rostered and required counts and lists every position in the group, for example Positions: Server, Waiter.

Understand the combined badge for positions that share a labour rule

Some staffing requirements cover more than one role. For example, your Server and Waiter positions might both sit under one Front of House labour rule. When two or more positions share the same active labour rule, the roster visually groups them together and shows one combined badge instead of a separate badge on each row.

  • Only the first position in the group displays the badge for each day. The other positions in the group show no badge.
  • The badge counts the total staff rostered across every position in the group against the rule's total requirement, not just the first position's shifts.
  • In daily view, only the first position in the group shows the ●, ▼ and ▲ symbols for each 15-minute slot, and the tooltip on any symbol still lists all the grouped positions.
  • A position assigned to its own individual labour rule keeps its own independent badge and is not grouped with any other position.
Reorder grouped positions on your roster

Positions that share a labour rule always stay together on the roster, so a group's combined badge never ends up split across the grid.

  1. Log in to Employment Hero. 
  2. Go to Rostering Management.
  3. Click Update row order to enter arrange mode.
  4. Press the move up or move down button on the position you want to move.

When you move any position in a group, every position in that group shifts together as one unit, and no other position can slot in between them. There are no controls that let you move one grouped position on its own, so the group always stays adjacent. Positions on their own individual labour rule continue to move independently without affecting any other row.

Why do some positions show no badge?

A blank badge cell is expected in the following situations, and the position row's name, total hours and total cost always remain fully visible:

  • The position has no staffing target configured in the labour model, so no badge appears on any day.
  • The labour rule only applies on certain days, for example weekdays only. Badges appear on the days the rule applies, and the other day cells stay empty.
  • The rule's required count for that day is zero. No badge appears, even if shifts have been rostered for the position on that day.
  • You are in employee view, where staffing badges and the Staffing requirements toggle do not appear.
  • The staffing data failed to load. The badge cells stay empty and the rest of the roster continues to work normally.
What is coming next for staffing indicators?

Staffing requirement indicators will continue to grow over the coming weeks with support for operating hours, coverage percentage, Sales per Labour Hour (SPLH) and Labour percentage metrics, and a sales graph. Operating hours will let your labour model run within the hours you set for your work site, with a buffer in mind, rather than across the full day.
