HeroAI is designed to be your productivity partner. It works in two primary ways:
- On-Demand: It acts on your specific instructions and will not perform tasks unless you direct it to.
- Proactive Insights: It may surface observations or "AI Insights" based on patterns in platform data and user requests. These are suggestions designed to bring important information to your attention. See more information about AI insights here.
In both cases, the human remains the decision-maker. Hero AI provides the data and the draft, but it does not hit "submit" or "approve" without your final click. Hero AI is a productivity feature, not a professional adviser. We recommend reviewing all AI-generated insights and outputs and using your own judgement for all important management and compliance decisions.
Your data stays secure: all data is processed within our Employment Hero secure ecosystem. No data is stored outside of Employment Hero's platform. For a full overview of our security standards, certifications, and compliance practices, visit our Trust Centre.
Employees
- Log in to Employment Hero.
- Click the Ask Hero AI button in the top right-hand side of the screen to open Hero AI.
- You'll see suggested questions to help you get started. Type your question into the text box (e.g., "How much leave do I have?" or "What is the company WFH policy?"), then click the Ask button or press Enter.
- Hero AI will give you an answer and may list out some extra resources, such as help centre articles or links to your personal profile. You can provide feedback using the That helped 👍 or Wasn't helpful 👎 buttons.
- Log into your Employment Hero.

Employers
- Log into your Employment Hero platform.
- Click the Ask Hero AI button in the top right-hand side of the screen to open Hero AI.

What can Hero AI do?
Hero AI can both answer questions and, where you have the right permissions, help you take action — all through a simple chat. What's available to you depends on your role (Employee, Manager, Admin or Owner), your country, your plan, the modules your organisation has enabled, and your existing permissions. Hero AI never shows information or performs actions you aren't already authorised for, and you always make the final decision.
Staged rollout
Some Hero AI features described here — including the ability to find and understand reports using conversational language — are being released in stages. If you don't see a feature yet, it will be rolling out to more customers soon.
Check your leave balance, view your leave history, project what your balance will be on a future date, see your leave categories and submit a leave request.
Managers can also view, create, approve, decline and manage leave requests for their direct reports.
View your upcoming, open, empty and rostered shifts, check who you're working with, see shifts available for swapping and manage your unavailability. You can bid on open shifts, request and respond to shift swaps, and confirm or decline shifts.
Managers can also find available staff, see absent staff and roster summaries, reassign shifts, update or delete shifts, publish and copy rosters, and manage unavailability for their team.
View your work hours and timesheet entries and check your overtime.
Managers can also review team timesheets, spot missing submissions and variances, approve or reject timesheets, and send submission reminders.
View your payslips, salary history, total compensation, and your tax, bank and super details.
Managers and Admins can also view team payslips and pay-run information, subject to their permissions.
View your personal and employment details, employment history, work eligibility, certifications, emergency contacts and where you sit in the org chart. You can also request updates to your profile.
Managers can view the equivalent details for their direct reports.
Summarise your goal progress, flag goals that are at risk, get a recommendation on what to focus on next, and view your reviews and 360 feedback.
Managers can review team goals and priorities and summarise an employee's performance against their goals.
Find the right report without searching the catalogue manually. You can ask which report to use for a given question and get a single, highly relevant suggestion with a direct link; ask for a breakdown of your report library (for example, how many standard versus custom reports you have); and ask what a specific report covers, when to use it, or how two similar reports compare.
Results are tailored to your role and strictly respect your access permissions, so you'll only be recommended reports you're authorised to view.
View your benefits and perks, and see shoutouts and recognition across your organisation.
View your documents, HR documents, and company policies and inductions that you're permitted to access.
View your expenses and expense categories, your one-on-one history and talking points, and certification and safety incident information relevant to you.
View company announcements, feedback and the learning courses available to you.

Hero AI searches Help Centre articles, company policies, and your personal employment data. It can answer questions such as:
- Policy: "What is my company's parental leave policy?" or "How is long service leave calculated?"
- Personal Data: "What are my bank and tax details?", "Show me my pay information," or "When is my next performance review?"
- Rostering: "What are my roster details for this week?", "Show me John Doe's roster", "How many hours did I work this week?", "How many hours did (my employee) work this week?", "Show me my timesheet entries", or "Show me empty shifts"

Finding the right report in a large catalogue can be slow. Hero AI acts as an intelligent assistant that matches your conversational question to the single most relevant report and gives you a direct link, so you can skip manual searching.
You can ask Hero AI to:
- Recommend a report for what you're trying to find — for example: "Which report can I use to view turnover data?" — and get one highly relevant suggestion with a direct link.
- Break down your report library — for example: "How many reports do I have?" or "What's the split between standard and custom reports?"
- Understand a report's contents — for example: "What does the tenure report cover?", "When should I use this report?", or "How do these two reports compare?"
Helpful Hint
Report recommendations are tailored to your role and strictly respect your access permissions — you'll only ever be pointed to reports you're already authorised to view. This feature is being rolled out in stages, so if you don't see it yet it will be available to more customers soon.
Employees and managers can ask Hero AI directly about goals and get clear, conversational answers without having to browse through the goals section of the platform.
Employees can ask Hero AI to:
- Summarise current goal progress, including key results and how much of each target has been reached — for example: "Summarise my current goal progress."
- Identify which goals are at risk or behind, along with their due dates — for example: "Which of my goals are behind?"
- Get a recommendation on what to focus on next, prioritising the most urgent or at-risk items — for example: "What should I focus on next?"
Managers can ask Hero AI to:
- List a direct report's current priorities with progress and risk status ahead of 1:1s — for example: "What are [employee name]'s current priorities?"
- Summarise an employee's overall performance against their goals — for example: "Summarise [employee name]'s performance against their goals."
- Identify which goals across the whole team are at risk, grouped by team member — for example: "Which goals across my team are at risk?"
Helpful Hint
All goal query responses are scoped to data you are already permitted to see. Employees only see their own goals, managers only see goals within their reporting structure, and admins can query across the organisation. This follows the same access controls as the rest of the Employment Hero platform.
Hero AI can retrieve your organisation's enabled Company Values and use them to ground its responses in what your organisation actually considers important, rather than generic best practice.
Employees can ask Hero AI to:
- List the organisation's company values and what each one means — for example: "What are our company values?"
- Explain what good performance looks like in the context of those values — for example: "What does good performance look like here?"
- Explore a specific value in more depth — for example: "What does it mean to display [value name]?"
- Get development feedback grounded in company values — for example: "What should I focus on to improve?"
- Understand how feedback they have received relates to company values, including feedback from 360 reviews — for example: "How does my received feedback relate to our company values?" or "How does my peers' feedback relate to our company values?"
- See how their goals align to company values — for example: "How do my goals relate to our company values?"
- Find out which values have been most celebrated across the team via recognition — for example: "Which company values have been most celebrated by the team?"
Managers can additionally ask Hero AI to:

Helpful Hint
Company Values context is available on Platinum, Plus, Unlimited, and Elite plans. Hero AI draws on the values your organisation has enabled in the Engagement module — if your organisation has not set up Company Values, Hero AI will not be able to reference them in its responses.
Ask Hero AI can't currently be disabled. We've captured this as feedback, and product enhancements are reviewed on an ongoing basis alongside customer demand and our roadmap.
If your interest in disabling Hero AI is driven by a specific concern, it may help to know that:
- You stay in control. Hero AI only acts when you instruct it to. It doesn't make autonomous decisions or take action without your direction, and you make the final call on any output.
- It respects your existing permissions. Hero AI can't show information or perform actions that a user isn't already authorised for. What's available varies by role, country, custom security settings and enabled modules.
- Your data stays secure. All data is processed within Employment Hero's secure ecosystem and isn't stored outside the platform. For more detail, visit our Trust Centre.

Yes. For policy-specific questions, your company must have the information uploaded. However, personal data (leave, pay, etc.) is pulled directly from your Employment Hero profile.
Hero AI adheres to strict access controls. You can only see policy information or personal data (like bank, tax, and super details) that you are already eligible to see based on your User Access and permissions.
Hero AI respects existing platform permissions and does not override or bypass permission models. Users can only:
- View information they already have access to
- Perform actions they are authorized to perform
Your capabilities within Hero AI vary based on:
- Role: Employee, Manager, Admin, or Owner
- Country: Location-specific access rules
- CSS permissions: Custom security settings configured for your organisation
- Enabled features: Feature flags activated in your organisation
This ensures that Hero AI maintains the same security and access controls as the rest of the Employment Hero platform.
Note that no data is stored anywhere but within our secure ecosystem. Personal information and client data are purely processed by a Large Language Model (LLM) API and are never used for model training purposes.
To view your conversation history with Hero AI:
- Click Ask Hero AI.
- On the popup window, click the View History (represented by a clock) button.
- Select one of the three filters: All, Hero AI, or Support (you will need to have access to raise support tickets to view the Support filter).
- Select the conversation entry (e.g. How do I apply for leave?).
- Scroll through your logged conversation to view the full transcript.
