Hero Time Clock is a powerful tool for tracking employee work hours, simplifying timekeeping, and ensuring compliance with workplace policies.
Along with being a crucial time clock app for employees, it is a vital part of your HR platform that you as an admin can utilise with ease.
In this Getting Started guide, you will learn how to use Hero Time Clock's features to manage your settings, approvals, and employee access, as well as how to access detailed overviews of your rostered employees and their statuses when clocked in to work.

There are a variety of features that can be managed by admins using the Hero Time Clock feature on your HR platform as well as by logging in to the app itself.

Manage settings
The Hero Time Clock Settings page lets you configure clock in and out options, enable photo capture of your rostered employees, and create new time clocks with assigned cost centres.
You can also use the settings to add one or more managers who you would also like to access your created time clock.
To manage your settings for Hero Time Clock:
- From the main menu, click Settings then select Hero Time Clock.
- On the Time Clocks tab, click Add time clock.
- In the Add time clock window, enter the relevant details in the following fields:
- Click Save. Your time clock is now active, and you can start granting employees access to it by managing approvals.
Manage approvals
The Employee Access tab on your HR platform allows you to grant permission to employees who need to clock in and out with the Hero Time Clock app.
The tab is also where you can review and manage each employee's kiosk access status to ensure each employee's account is set up correctly.
- In the main menu, click Settings.
- In the submenu, click Hero Time Clock.
- Select the Employee Access tab.
- You will now see a table that lists the names of all employees who can be enrolled on to Hero Time Clock.
- For each employee you want to grant access to, click the corresponding checkbox.
- Click Grant access.
- Under the Kiosk access status column, observe the employee(s) who have just been granted access. Their status will go from Disabled to Awaiting passcode and they will be emailed accordingly.
Helpful Hint
Employees granted Hero Time Clock access will only have their kiosk status change from Awaiting passcode to Enabled after they have set up and activated their passcode.

To prevent an employee from having unwanted access, use the Employee Access tab on your HR platform to revoke permission for anyone who should not be able to clock in and out of your chosen time clock.
- On the main menu, click Settings.
- On the submenu, click Hero Time Clock.
- Click the Employee Access tab.
- Click the checkbox next to each employee you want to grant access to. (You can also click the very top checkbox if you want to select all employees at once.)
- Click the Revoke access button.
- Refer to the Revoke access popup.
- (Optional) Click the Notify employees checkbox if you would like the selected employee(s) to receive an automated email confirming their revoked access.
- Click the Revoke access button.
- Each row of the selected employee name(s) will now go from their original status to the Disabled status.
View employees in app
With the Hero Time Clock tablet app, admins can sign in anytime, anywhere to view a real-time display of rostered employees who have clocked in to work.
The app also provides a clear overview of those employees, showing who has started their shift, who is on break, and the timeframes for each activity.
To view employees in the Hero Time Clock app:
- Open the Employment Hero Time Clock app on your tablet.
- Enter your email address and password in the Email and Password fields, then tap Log in.
- Tap the Organisation field, then enter the name of your organisation.
- You will now see the Rostered page of the tablet app, which shows all your rostered employees.
- You can also view who is on break and who has started their shift by clicking the On break and Shift started tabs.
