Using Board View to manage candidates

Available for the following plans: Employment Lite, Employment Plus, Employment Unlimited
Available for the following HR plans: Free, Standard, Premium, Platinum
Available for the following User Access level: Admin  

Board View provides a visual, drag-and-drop interface for managing candidates through your hiring process. This view allows you to see all candidates across all stages at once, making it easy to drag and drop candidates between stages, quickly assess your hiring pipeline, and take action without losing candidate context.

Helpful Hint

Board View is the default view for new ATS users. Existing users will see Stage View on first login, but your view preference is automatically saved as you switch between views. You can toggle between Board View and Stage View at any time.

Accessing Board View

Switch to Board View
  1. Click the  Recruitment menu.
  2. Click the Recruitment submenu.
  3. Click the Jobs tab.
  4. Click on the job role you want to view.
  5. Click the Board View toggle button to switch from Stage View.

Helpful Hint

Your view preference is automatically saved. The next time you access this job or any other job, the platform will remember your last selected view.

Navigate between jobs in Board View
  1. While in Board View, click the job dropdown menu at the top of the page.

  2. Select the job you want to view from the list.
     

Helpful Hint

This dropdown allows you to quickly switch between jobs without returning to the main recruitment dashboard.

Managing candidates in Board View

Move candidates using drag and drop
  1. In Board View, locate the candidate card you want to move.
  2. Click and hold on the candidate card.
  3. Drag the card to the desired stage column.
  4. Release to drop the candidate into the new stage.

Important

You can also drag candidates to the Disqualified section to reject them from the hiring process.

View candidate profiles from Board View
  1. In Board View, click on any candidate card.
  2. The candidate profile will open in a context panel on the right side of the screen.
  3. The Board View remains visible in the background, allowing you to maintain context of your entire pipeline.

Helpful Hint

You can still interact with the Board View in the background while the profile panel is open, making it easy to compare candidates or move multiple people through stages.

Navigate between candidate profiles

When viewing a candidate profile in Board View, you have two options for navigating to other candidates:

  1. Use navigation buttons: Click the Previous or Next buttons at the bottom of the profile panel to move through candidates sequentially.
  2. Click directly on candidates: Click on any other candidate card visible in the Board View behind the profile panel to jump directly to that candidate's profile.

Helpful Hint

When you switch between profiles the tab you were last on is maintained. So if you're on one candidate's CV, when you click next you'll first see the next candidate's CV, rather than having to click from profile to CV again.

Filter candidates in Board View

Use filters to narrow down candidates displayed in Board View based on specific criteria such as match score or screening question responses.

Enhanced filtering functionality is being rolled out later in the week commencing 24 Nov 2025, so will be available in your ATS soon.

  1. Click the Filter icon (funnel icon) next to the Recruitment Agent button at the top of the page.

  2. The Filters panel will open on the right side of the screen.
  3. Apply your desired filters:
    • Match score range: Use the slider or enter minimum and maximum values to filter candidates by their SmartMatch score.
    • Screening questions: Filter by responses to specific screening questions (note that free-text questions cannot be filtered).
  4. Click the Apply button to filter the candidates in Board View.
  5. To remove filters, click the Clear button in the Filters panel.

Helpful Hint

Filters are applied across all stages in Board View, making it easy to quickly identify candidates who meet specific criteria regardless of which stage they're in.

Use the Action Toolbar

The Action Toolbar is located at the bottom of the candidate profile panel and provides quick access to essential actions.

Available actions in the Action Toolbar:

  • Notes: Add internal notes about the candidate. Clicking this opens the Action Pane.
  • Activity Log: View all actions taken on this candidate.
  • Email: Send emails directly to the candidate. Clicking this opens the Action Pane.
  • Event Scheduling: Schedule interviews or meetings (integrates with Google Meet and Microsoft Teams). Clicking this opens the Action Pane.
  • Evaluations: Complete evaluation forms and assessments.

Important

When you click on Notes, Email, or Event Scheduling in the Action Toolbar, the Action Pane slides out from the side, keeping candidate information visible while you work. This means you never lose context while taking action.

View SmartMatch scores in Board View

Each candidate card in Board View displays their SmartMatch score, making it easy to identify the best-matched candidates at a glance.

  1. Look for the circular badge on each candidate card showing their match percentage (e.g., 100, 71, 35).

  2. Click on the candidate to open their full profile and see detailed SmartMatch breakdowns for Experience, Skills, and Qualifications.

Understanding Board View features

What information is shown on candidate cards?

Each candidate card in Board View displays:

  • Candidate name
  • SmartMatch score: A circular badge showing the match percentage
  • Application source: Where the candidate applied from (e.g., "Via Employment Hero")
  • Time stamp: How long ago they applied or were last updated (e.g., "7 days ago")
  • Tags: Any special tags such as "PREV APPLIED" for previous applicants
  • Quick actions: Email icon for direct messaging
What are the stage columns?

Board View displays all stages in your hiring process as columns. Common stages include:

  • New: Recently applied candidates
  • In Review: Candidates being actively reviewed
  • Phone Screen: Candidates scheduled for or completed phone screening
  • Assessment: Candidates completing assessments or AI interviews
  • Interview: Candidates in the interview stage
  • Background Check: Candidates undergoing background verification
  • Hired: Successfully hired candidates

How does Board View handle permissions?

Board View respects all hiring permissions set for your organisation:

  • Collaborators and Hiring Managers: Users will only see the stages and candidates they have permission to access. Other candidates will not be displayed.
  • Blind Hiring: If blind hiring is enabled for the "New" stage, candidate names will be concealed in Board View until they are moved to a different stage.

Important

Blind hiring and permission settings work the same way in Board View as they do in Stage View, ensuring consistent security and privacy controls.

Is there a limit to how many candidates Board View can display?

Board View is optimised for jobs with up to 200 candidates. Most job postings fall well within this limit.

  • If your job approaches or exceeds 200 candidates, a banner will appear recommending you switch to Stage View for better performance.
  • Board View will still be usable above this limit, but Stage View is recommended for managing large candidate pools.

Switching between Board View and Stage View

When should I use Board View vs Stage View?

Use Board View when:

  • You want a visual overview of your entire hiring pipeline at once
  • You need to quickly move candidates between stages using drag and drop
  • You're managing jobs with fewer than 200 candidates
  • You prefer a visual, column-based workflow

Use Stage View when:

  • You're managing jobs with more than 200 candidates
  • You want to focus on one stage at a time with more detailed list information

     

Helpful Hint

Both views display the same information and respect the same hiring stages. You can switch between them at any time without losing any data.

How do I switch back to Stage View?
  1. While in Board View, click the Stage View toggle button.
  2. The view will switch to show candidates in the traditional stage-by-stage list format.
  3. Your preference will be saved for future sessions.
